Klarifile is an invoicing and bookkeeping app built for UK sole traders — electricians, plumbers, builders, consultants. Quote on site, invoice the same evening, chase what you're owed, and file receipts without a shoebox.
What it does
Everything below is built and running on the backend. The mobile app is under active development.
Quotes and invoices
Create a quote, send it as a PDF, convert it to an invoice when the customer says yes. Numbering is sequential per customer and VAT is calculated for you.
Getting paid
Record payments, allocate one payment across several invoices, handle part-payments and credit notes, and see at a glance what is outstanding.
Chasing overdue invoices
Set a reminder policy once — first nudge after seven days, firmer after fourteen. You approve every message before it goes out.
Bank reconciliation
Upload a statement, and Klarifile matches incoming payments to your invoices. Unmatched credits queue up for you to allocate.
Receipts and supplier invoices
Forward a receipt by email or photograph it. Text is read automatically and turned into a categorised expense record.
Projects and jobs
Group quotes, invoices, purchases and time against a job, then see whether it actually made money.
Year-end for your accountant
Generate a reporting pack for a period and send it as a single download — invoices, bank transactions, payment matches and warnings about anything missing.
Voice
Designed to be driven by speech for hands-busy moments. Every action that changes something is read back to you and needs an explicit yes before it happens.

Your data stays yours
Hosted in AWS London and eu-west-2. Export or delete on request. No advertising, no selling data, no hidden analytics.
Email we send
Klarifile sends transactional email only. Everything below is triggered by an account holder, or relates to a document they have issued. We send no marketing, no newsletters and no promotional messages, and we do not buy or scrape mailing lists.
Sign-in links
Sent to the account holder when they ask to sign in. Single use and short-lived.
Invoices, quotes and credit notes
Sent to the account holder's own customers, only when that account holder chooses to send them, with a PDF attached.
Payment reminders
Sent about overdue invoices. The account holder approves each batch before anything leaves, and any customer can be excluded.
Account and security notices
Changes to the account, and notification of anything suspicious.
Recipient addresses come from our users' own customer records. Bounces and complaints are handled through Amazon SES suppression lists, so an address that bounces or complains is not emailed again. All mail is sent over TLS from a domain we control, authenticated with DKIM, SPF and DMARC.
